JR-West Hotels (hereinafter referred to as "our hotels") have established the following regulations regarding the use of banquet halls or events (hereinafter referred to as "banquets, etc.").

Please ensure that your use of the banquet hall, including setup and dismantling, is completed within the time agreed upon with our staff in advance. While the standard room rate applies to the contracted time from the start to the end of your banquet (hereinafter referred to as "banquet time"), an additional room charge will apply if this time is exceeded.
However, please note that we may not be able to accommodate extensions to your usage time due to scheduling conflicts with the next banquet hall usage.

If you make a reservation for a banquet hall, we may require a deposit by a certain deadline. The amount of the deposit will be determined by us based on the details of your banquet.

We may require you to pay the estimated amount we provide to you by a specified deadline.

Please pay all expenses related to your banquet, etc. (including any remaining balance of any deposit or advance payment you have already made) by bank transfer or in cash by the designated payment date. If there is any remaining balance after settlement, we will refund it to you by the designated payment date.

If you cancel or change the date of a banquet or other event that you have already booked, the following cancellation and change fees will apply.

• 89 to 60 days prior…20% of the latest estimate
• 59 to 30 days prior… 30% of the latest estimate
• 29-20 days prior…50% of the latest estimate
• 19-10 days prior…70% of the latest estimate
• 9 to 3 days prior… Latest estimate 80%
• 2 days prior to the date of service: 100% of the latest estimated price
*For each period, we will charge you for the actual cost of any items that have already been procured.
*Service charges are not subject to cancellation fees.

*The number of days will be calculated from the date of your request.
(Example) If you make a request on January 7th regarding a banquet on January 15th, the notice period will be 9 days prior.

Regarding reductions in the number of people for whom we prepare food and drinks (hereinafter referred to as "paying guests"), if the reduction in the number of guests exceeds 10% from the original number, a cancellation fee will be charged for the number of guests exceeding 10%, in accordance with the "Cancellation Fees and Date Change Fees" described above. Furthermore, if there are multiple reductions in the number of guests, the cancellation fee will be charged for the difference (additional reduction) obtained by subtracting the number of guests already subject to cancellation fees from the "number of guests exceeding 10%" calculated based on the number of guests after the reduction at the time of each request.

Regarding the preparation of meals and other items, we arrange for ingredients and other supplies 8 days before the banquet, so please let us know the number of paying guests by then.
The final deadline for any changes to the number of attendees is 5:00 PM, three days before the event. If any changes occur, please contact the person in charge by the deadline. After this time, you will be charged for the number of paying attendees.

Please note that depending on the details of your banquet, we may set up special terms and conditions, such as requiring you to change the date earlier.

For decorations, floral arrangements, sound systems, lighting, entertainment, music, banquet receptionists, and wedding favors related to banquets and other events, please use the vendors designated by the hotel.
If you wish to use a service provider other than the one designated by the hotel for your own convenience, please obtain prior approval from the hotel before making any arrangements.

With the hotel's approval, the delivery, removal, and installation of decorations, entertainment, and other items for banquets, etc., by vendors directly hired by the customer, must be carried out in accordance with the hotel's instructions regarding the size, installation method, and location of any signs.

Guests, or any contractors or individuals directly hired by the guest, are requested to take all necessary precautions to avoid damaging or destroying the hotel's facilities, furnishings, or equipment. In the event of any damage to the hotel's facilities, furnishings, or equipment, the guest, or any contractor or individual directly hired by the guest, will be required to promptly repair the damage or to pay compensation for the damages.

  • The following items are prohibited, so please comply with them.
    • ① Bringing in animals such as dogs (excluding assistance dogs such as guide dogs), cats, birds, insects, and livestock.
    • ② Bringing in explosives, gasoline, or other materials that are easily explosive or flammable.
    • ③ Bringing in items that emit foul odors.
    • ④ Engaging in any act that violates laws or public order and morals, or any behavior that causes inconvenience to other customers.
    • ⑤ Move the equipment.
    • ⑥ Using the service for purposes other than those stated at the time of reservation.
    • ⑦ Engaging in any other act prohibited by law.
  • We cannot accept your application for a banquet or other event if any of the customers or attendees fall under any of the following categories.
    Even if you have already made a provisional reservation or application for a banquet hall, if it is discovered that any of these reasons apply, we will refuse your use of the venue at that point.
    • ① If you are a yakuza, a member of a yakuza, or someone associated with a yakuza, or any other anti-social force (hereinafter referred to as "yakuza, etc.").
    • ② When a corporation or other organization is effectively managed by an organized crime group or similar entity.
    • ③ In the case of a corporation or other organization, if its representative, person in charge, etc., is a member of an organized crime group.
    • ④ If you engage in any behavior that causes significant inconvenience to other guests of this hotel.
    • ⑤ If you make violent demands or impose burdens on the hotel or its employees that exceed a reasonable scope.

If a customer who has booked a banquet or other event, or a customer attending a banquet or other event, fails to comply with the provisions of items 1 to 10 above, or if there is a risk of such failure, or if the customer falls under any of the provisions concerning refusal to conclude a contract and prohibited matters as stipulated in the Hotel's separately established accommodation terms and conditions and rules of use, such as "being a designated organized crime group, a designated organized crime group member, a designated organized crime group-related organization, or a related party thereof," then the Hotel may apply these provisions mutatis mutandis to the cancellation of the banquet or other event and cancel it. In particular, if we request a deposit (item 2) or advance payment (item 3) and payment is not received by the specified date, we may cancel the banquet or other event reservation in accordance with the preceding paragraph and charge you an amount equivalent to the cancellation fee calculated in accordance with the cancellation policy.

Furthermore, in the event that the banquet hall is unavailable due to natural disasters or other reasons beyond the hotel's control, we reserve the right to cancel your banquet or event. Please note that in such cases, we will not be able to provide any compensation or monetary payments for damages incurred.
